Job Description
How You Fit In
As the Associate Production Manager, you will be responsible for styles execution in production, from buy placement through final delivery. You will collaborate closely with Design, Merchandising, Product Development, Logistics, and Quality Assurance teams to optimize production processes for maximum efficiency, maintain purchase order accuracy, and monitor quality to ensure product is produced on time and in accordance with Fabletics vendor compliance standards.
The ideal candidate is a resourceful, detail-oriented problem-solver who is comfortable managing multiple workstreams in a fast-paced, dynamic environment. You collaborate well across teams, but can independently troubleshoot discrepancies, negotiate with vendors, and keep orders progressing toward key deadlines as we build and scale production processes.
What You Will Do
Buy Release, Capacity Management & PO Accuracy
- Send out buy sheets within 48 hours of receipt, and reissue updated buy releases when changes or late additions occur.
- Split buys by vendor and country of origin (COO).
- Communicate with cross-functional teams to incorporate additional units into buy totals as needed.
- Manage the capacity planning tool by updating projections and actualizing numbers after each buy release.
- Validate delivery quotes for each buy release to confirm lead times align with expectations.
- Send kick-off emails to factories and receive vendor confirmation of XFDs, allocation, and COO.
- Evaluate TNAs with Manager and request PO creation; work with the PO Creation team to confirm all PO details match the buy plan (POs are issued within 2 weeks of buy release).
- Order, manage, and track SMS, UGC, and TOPs (coordinator).
Production Tracking, Calendars & Vendor Management
- Review the Production WIP weekly to track vendor progress, confirm booking numbers are received, and ensure styles move to handover on schedule.
- Maintain approval dates in the fit tracker from buy pass-off, and follow up on outstanding design approvals.
- Create and maintain the Product Tracking Tool; process shortages and overages.
- Work closely with vendors and Product Development to support AUC targets and identify opportunities to improve cost outcomes.
- Negotiate delivery delays, troubleshoot production issues, and partner with vendors to maintain on-time execution.
- Review weekly delivery status with the Supply Chain Brand Manager and Merchandising teams, identifying risks and required adjustments.
- Review compliance chargebacks for late bookings, handovers, or deliveries (for DDP shipments) and track outcomes.
Quality, Testing Review & Issue Escalation
- Monitor quality throughout production to ensure product is produced on time and according to Fabletics standards for vendor compliance.
- Review failed garment testing and inspection reports, identify risks, and escalate issues to the Manager.
- Bubble up production issues to management and assist in researching root causes and potential resolutions.
What You Can Bring
- 4+ years of production experience in fashion or apparel manufacturing, with direct exposure to vendors and purchase order management.
- 4+ years of experience working with purchase order creation systems; demonstrated ability to manage PO workflows end-to-end, including tracking status, identifying variances, and driving timely resolution.
- Bachelor's degree in business, apparel manufacturing, or product development.
- Hands-on experience using PLM systems to review, update, and maintain product, costing, and production data with a high level of accuracy.
- Strong written and verbal communication skills.
- High proficiency in MS Excel, including lookup functions, pivot tables, and the ability to manage large datasets and build tracking tools.
- Ability to interpret garment testing and inspection reports and translate findings into actionable next steps for Production or Product Development.
- Detail-oriented with the ability to multitask and prioritize independently across multiple workstreams to meet deadlines.
- Able to work in a fast-paced, dynamic, and highly collaborative environment.
- Experience with both domestic and overseas vendors preferred.
